BOOKING AND PAYING FOR YOUR HOLIDAY
Booking
Provisional bookings should be made by telephone or email to ensure that spaces are available on the dates required.
When you wish to confirm a holiday you must sign a booking form and pay a deposit of £50 per person. When you sign or tick the acceptance of the online booking form you are confirming that you understand and have accepted the information below which forms our booking conditions. After receipt of your booking form we will issue a confirmation at which stage a binding contract comes into effect between you the client and Salsa Hols.
Payment
After your booking is taken and a deposit received, a balance invoice will be sent to you detailing the total cost due. Full payment is due not less than 8 weeks before departure. If you do not pay in full 8 weeks before departure, we reserve the right to cancel your booking, and cancellation charges will apply. If you make a holiday booking within 8 weeks of your departure date then you must pay the full cost of the holiday at the booking stage.
Passport/Visa/Insurance
You will need a full 10 year passport to travel to the destinations we feature.
If you or any member of your party is not a British citizen or holds a non-British passport you must check passport and visa requirements with the Embassy or Consulate of the countries through which you are intending to travel. Information on health is contained in the Department of Health leaflet available from most post offices. It is your responsibility to ensure that you and all members of your party are in possession of all necessary travel and health documents before departure and all costs incurred in obtaining these items must be paid by you.
It is important that you have insurance cover and that it is adequate for your needs and this is a condition of booking with us.
We will not be liable for the actions and services provided by third parties to include airlines, hotels, tour operators, coach companies and guest instructors.
If you want to change or cancel your holiday.
If you want to change any part of your holiday arrangements after the confirmation has been issued, we will do our best to make the change, but it may not be possible.
Any request for changes must be made in writing by the person who made the original booking. It will not be possible to make changes within 28 days of your scheduled departure date
If you are unable to travel, in circumstances which we consider reasonable, we may allow you to transfer your booking to another party. An administration charge of £30 per person outside 60 days of departure and £100 per person inside 60 days of departure, will be made plus any charges levied by suppliers.
If you or anyone on your holiday booking decides to cancel the holiday we must be notified in writing. The cancellation will take effect from the day the written confirmation is received. The following scale of charges will be payable;
Prior to 60 days Deposit forfeited
60-29: 50% of total holiday cost
28-15: 75% of total holiday cost
14-1: 100% of total holiday cost
We would strongly recommend that you take out full insurance, which will in most cases include cover, under certain circumstances, against loss of deposit or cancellation fees.
If we have to change or cancel your holiday.
We hope and expect to be able to provide you with all the services we have confirmed to you at the time of booking. We plan arrangements a long time in advance of your holiday using independent suppliers such as hotels, dance instructors etc., over whom we have no direct control. It is the case, that on occasions changes do have to be made, and we reserve the right to make these. Most of these changes are minor. However, if we consider them a significant change we will endeavour to advise you as soon as reasonably possible. We consider a significant change to be one where there has been a change of resort, a change of accommodation to that of a lower category or a change of holiday dates.
In the case of you being advised of a significant change before your departure we will provide you with the following alternatives;
1) Accept the alternative offered(at additional cost if applicable)
2) Purchase another holiday from us
3) Cancel your holiday with a full refund of monies paid
In all 3 cases, compensation will be paid as detailed below:
60-29 days £10
28-15 days £20
14-0 days £30
Important note: Compensation will not be payable if we are forced to cancel, or in any way change your holiday due to war, threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, fire or adverse weather conditions or other events outside our control.
Cancellation by us - We reserve the right in any circumstances to cancel your holiday and all holidays are subject to a minimum number of participants. We will not cancel your holiday within 8 weeks of departure unless caused by events beyond our control or failure on your part to pay the final balance. In circumstances where we are unable to provide the holiday booked, we will offer to you an alternative holiday of comparable standard or, if this is unacceptable, we will return to you all monies paid.
Behaviour
Most people go on holiday for relaxation and enjoyment, so if in our reasonable opinion or in the opinion of any hotel manager, tour leader or other person in authority, your behaviour is causing danger, damage to property or persistently affecting the enjoyment of others, we reserve the right to terminate your holiday. Should this happen no refund or compensation would be paid.
If you have a complaint whilst on holiday
If you have cause for complaint whilst on holiday, you must bring it to the attention of the tour leader of Salsa Hols and the hotel, who will do their best to rectify the situation. It is unreasonable to take no action whilst on holiday, but then to write a letter of complaint upon return. We regret we cannot accept any liability in relation to any complaint or problem if you fail to notify us strictly in accordance with this paragraph.
